We also noticed several errors on employee time sheets due to time not being reported accurately or reported hours were not recorded from employee time sheets to the individual employee time cards .
The errors related to hours not reported on the individual time cards is mainly due to the poor design of the individual pay cards and the manner in which weekly time sheets are siobmitted to the payroll clerk.
The Prison has implemented a special time sheet to account for and justify overtime being... paid. This is a very good procedure, but the approval for overtime is often not indicated on the overtime sheets .
Also, there is not a procedure which allows the employee to verify the overtime reported on the time sheet.
RECOMMENDATION We recommend that the Prison: 1) Continue to study a) the reasons for excess overtime while remaining within the guidelines of Montana law MCA 53-30-103 regarding the working hours of correctional personnel, and b) the efficiency of scheduling employees to work areas and shifts.
